The role of Team Assistant is based within the Water Development and Sanitation Department (AHWS), under the Agriculture, Human and Social Development Complex (AHVP). This department is dedicated to enhancing Africa’s water security and sanitation infrastructure β€” a key enabler of socio-economic transformation. AHWS collaborates closely with regional divisions and external partners to design solutions that are innovative, inclusive, and climate-conscious. The role will specifically support AHWS.2, which covers water and sanitation projects in Eastern and Southern Africa, including South Africa.


πŸ§‘β€πŸ’Ό About the Position: Team Assistant (STS)

The Short Term Staff (STS) – Team Assistant will support the administrative and operational functions of the department. Your mission is to ensure the smooth day-to-day management of the division’s activities and ease the workload of the division manager. You’ll handle secretarial duties, manage communication and documentation, and coordinate travel and logistics, ultimately helping the team meet its goals efficiently.


πŸ›  Key Responsibilities

  • Provide professional secretarial and administrative support to the Division Manager.
  • Prepare, draft, and format internal and external communications, reports, and letters.
  • Manage incoming/outgoing correspondence, including physical and digital document archiving.
  • Coordinate meetings, prepare agendas, and draft meeting minutes.
  • Monitor timelines, follow up on routine processes, and ensure key deadlines are met.
  • Support travel arrangements (flights, accommodation, itineraries).
  • Handle document proofreading, checking for errors, consistency, and procedural accuracy.
  • Act as a communication bridge within the team and with other departments.
  • Assist with any additional tasks as assigned by the supervisor.

βœ… Qualifications and Experience

  • A Bachelor’s degree in Business Administration, Management, Commerce, Communications, or a related field.
  • At least 4 years of experience in administrative, secretarial, or office management roles.
  • Strong multitasking ability and organizational skills.
  • Excellent communication skills in English (both written and spoken); working knowledge of French is an advantage.
  • High proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Access); familiarity with SAP is a plus.
